Use
You can enter several incoming invoices for a single vendor in a settlement request list. The settlement request list can contain different customers.
In contrast to list entry for inbound invoices, you can enter invoices with different billing document types in a settlement request list.
For further information see:
List Entry of a Settlement Request
Entering a Single Settlement Request and Creating Follow-On Documents
Procedure
- Select Agency Business ® Payment ® Create Settlement Request List.
- Enter a payment type and confirm your entries.
- Enter the organizational data and company code and then confirm your entries.
- Enter the header data, that is, the invoicing party (vendor).
- Enter the gross amount for the invoice as well as the remaining header data, changing the defaulted data as required.
- Enter the individual invoices in the lines of the list.
- Confirm your entries after each individual line in the list.
- Post the invoice.
The data is stored in the system and can be changed via the Organizational Data pushbutton.
When you press Return, the system automatically determines the accounting data relating to the vendor, such as terms of payment and cash discounts.
Each list item represents a single settlement request. If the single settlement request contains several invoice amounts, you enter the first net or gross amount of the single settlement request in the list fields of the settlement request list. To enter the other amounts, choose Item details to go to the detailed view of the single settlement request.
The system carries out a new price determination. If there is no difference between the net and gross invoice amounts (traffic light icon is green), you can post the invoice.
For further information, see Posting Documents.
Result
The system creates an individual payment document for each of the lines of the document list. Each individual payment document is assigned a separate document number. The settlement request list is also saved with its own number.
When you post the data, an accounting document is only created for the settlement request list, not the individual documents contained in the list, which means that all these documents are posted together via the settlement request list. The individual documents are assigned the posting status Posted Using Settlement Request List.
The accounting document is transferred to Financial Accounting for further processing (such as a payment run).
